Simple ways to work smarter, not harder

Working longer hours does not necessarily mean getting more done. In fact, research suggests that excessive multitasking can undermine performance, while taking appropriate breaks can support well-being and, in some circumstances, productivity.

Here’s how you can work smarter, not harder.

Prioritise what matters

Start each day by identifying your top two or three priorities. Instead of working through a never-ending to-do list, focus on the tasks that will make the biggest difference.

If something is urgent but not important, ask whether it can be delegated, postponed or handled more efficiently.

Stop multitasking

Constantly switching between emails, messages and projects can make work feel productive without necessarily improving results. Research has found that multitasking can reduce performance, particularly when accuracy matters.

Try working in focused blocks instead. The HubSpot Careers Blog recommends eliminating distractions. Silence non-essential notifications, close unnecessary tabs, and give one task your full attention before moving on.

Make your technology work for you

Use calendars, reminders, templates and task-management tools to reduce repetitive work. Automating routine tasks can free up valuable mental energy for work that requires creativity, judgement or problem-solving.

Take proper breaks

A break is not wasted time. Career Contessa recommends blocking out a 15-30 minute window on your calendar to ensure a mental escape each day. 

Research on micro-breaks found that short pauses can reduce fatigue and increase feelings of vigour, although their effect on overall performance is more modest.

Step away from your screen, stretch, get some fresh air or make a cup of tea. Even a few minutes can provide a useful reset.

Protect your personal time

Working smarter also means knowing when to stop. Research highlights the links between workplace pressure, burnout and reduced productivity, making sustainable work habits increasingly important.

The goal is not to squeeze more work into every minute. It is to spend your energy where it counts — and finish the day with enough left for life beyond your inbox.
