Tax season checklist: Documents you should have ready

Tax season can feel overwhelming, but getting organised before you submit your return can make the process much smoother. Whether you’re a salaried employee, freelancer, small business owner or earn income from investments, having the right documents ready can help you avoid delays, reduce errors and ensure you claim any deductions or credits you’re entitled to.

Here’s a checklist of the key documents you should gather before filing your tax return.

Start with your IRP5 or IT3(a)

If you’re employed, one of the most important documents you’ll need is your IRP5 or IT3(a) certificate from your employer.

This document summarises your income, tax deducted (PAYE), benefits and other employment-related information for the tax year.

According to the South African Revenue Service (SARS), employers issue these certificates so taxpayers can accurately complete their tax returns.

Collect proof of additional income

If you earn income outside your regular salary, you’ll need records to support it.

This may include:

  • Freelance or consulting income
  • Rental income
  • Income from a side hustle
  • Investment income
  • Interest earned from bank accounts
  • Dividends received

Keep invoices, payment confirmations and bank statements that verify these earnings.

Gather retirement contribution records

If you contribute to a retirement annuity (RA), pension fund or provident fund, keep your contribution certificates.

SARS may use this information when determining allowable tax deductions or calculating your tax assessment.

If you’re unsure whether your contributions are already reflected on your IRP5, check with your employer or financial adviser.

Keep your medical documents together

If you belong to a medical aid, you’ll need your annual medical tax certificate.

You should also keep receipts for qualifying out-of-pocket medical expenses that weren’t reimbursed by your medical scheme.

SARS uses this information when calculating medical tax credits where applicable.

Have travel records available (if applicable)

Some taxpayers may need to declare business travel or claim travel-related expenses where permitted.

Keep:

  • A completed logbook
  • Vehicle details
  • Kilometre records
  • Supporting receipts where required

SARS provides specific requirements for taxpayers claiming business travel expenses.

Save your donation receipts

If you’ve made donations to approved public benefit organisations (PBOs), keep your Section 18A donation certificates.

These certificates may allow qualifying taxpayers to claim deductions, provided the donations meet SARS requirements.

Keep investment statements

If you earn income from investments, collect:

  • Interest certificates
  • Dividend statements
  • Capital gains information
  • Investment portfolio statements

These documents help ensure all taxable investment income is declared correctly.

Organise business records if you’re self-employed

Freelancers, consultants and business owners should prepare:

  • Profit and loss statements
  • Business bank statements
  • Expense receipts
  • Asset purchase records
  • Invoices issued to clients
  • Accounting records

Maintaining accurate financial records throughout the year makes tax filing significantly easier.

Have your banking and personal details ready

Before submitting your return, confirm that your:

  • Banking details are correct
  • Contact information is up to date
  • Tax reference number is available
  • Identity document is valid

Keeping your personal information current helps avoid unnecessary delays if SARS needs to process a refund.

Keep supporting documents for several years

Even after filing your return, don’t discard your records.

SARS advises taxpayers to retain supporting documents for at least five years, as they may be requested during verification or an audit.

Digital copies stored securely can make recordkeeping much easier.

The bottom line

Preparing for tax season doesn’t have to be stressful. By collecting your income records, certificates, receipts and supporting documents in advance, you can submit your return with greater confidence and reduce the risk of errors or delays.

Staying organised throughout the year also makes future tax seasons much simpler and helps ensure you meet your tax obligations efficiently.
