How to deal with a difficult colleague professionally

A disagreement with a difficult colleague can quickly turn an ordinary workday into an uncomfortable one. But before you vent in the office group chat or send an emotional email, it is worth taking a step back.

Workplace conflict does not always have to become a major problem. In many cases, addressing the issue early, having an honest conversation and being willing to listen can help both people move forward, notes Indeed.

Here are some practical ways to approach a difficult situation at work.

Keep it private

If the issue only involves you and one coworker, avoid turning it into office gossip, states Indeed. If you need advice, speak to a trusted manager, friend or family member.

Address it at the right time

Don’t let problems build up, but avoid confronting someone while emotions are still high. Give both of you time to cool down after a heated exchange.

Stay positive

Indeed advises not to let workplace tension affect your productivity or entire day. Keeping things in perspective can help reduce stress while you work towards a solution.

Talk face-to-face

When possible, discuss the issue in person. Direct conversations can reduce misunderstandings and give both people a chance to explain themselves.

Stay calm

Even if you’re frustrated, keep your tone measured. Write down your key points beforehand if you’re worried about becoming emotional or losing focus.

Be clear about the problem

Explain what is bothering you without making the other person guess. Being direct can help you get to the heart of the disagreement, Indeed explains.

Find common ground

Remind yourselves that you’re still working towards shared goals, whether that’s completing a project or meeting a deadline.

Listen to their side

Give your coworker a chance to explain their perspective. According to Indeed, asking questions and listening properly can help you understand the situation and find a compromise.

Focus on moving forward

The goal isn’t necessarily to prove who was right. Find a way to work together respectfully, even if you don’t completely agree.

Know when to involve others

Some conflicts require outside help. Team-related issues may benefit from input from colleagues, while allegations of discrimination or harassment should be raised with management or HR.
